SchoolSphere is a personal organisational tool for parents and carers. It is not an official communication channel with any school, and we are not affiliated with, endorsed by, or acting on behalf of any school or local authority.
These Terms of Service govern your use of SchoolSphere, a mobile web application that helps parents and carers organise school events, clubs, and communications for their children. By creating an account or using the app, you agree to these Terms.
SchoolSphere is operated by SchoolSphere Ltd, a company registered in England and Wales.

SchoolSphere is intended for parents, carers, and guardians aged 18 and over. Children may not create their own accounts. You are responsible for all activity that occurs under your account.

You are responsible for keeping your login credentials secure. Notify us immediately at support@schoolsphere.app if you believe your account has been accessed without your permission.
You may only use SchoolSphere for lawful, personal, non-commercial purposes. You must not:
New users receive a 14-day free trial of SchoolSphere Premium with full access to all features. No payment is required during the trial. You will not be charged unless you actively choose to subscribe.
After the free trial, continued access to premium AI features requires an active paid subscription. We offer a Monthly plan at £7.99/month and an Annual plan at £59.99/year (£5.00/month — save 37%). Prices are inclusive of VAT where applicable.
Subscriptions renew automatically at the end of each billing period unless you cancel before the renewal date. You will receive a reminder before your subscription renews.
You may cancel at any time via Profile → Subscription → Manage Billing. Cancellation takes effect at the end of your current billing period. You retain access to premium features until that date. We do not offer refunds for partial billing periods, except as required by law.
Under the Consumer Contracts Regulations 2013, you have the right to cancel within 14 days of starting a paid subscription and receive a full refund, unless you have already made substantial use of the service during that period. To exercise this right, contact support@schoolsphere.app.
We will give you at least 30 days' notice of any price increase. You may cancel before the change takes effect if you do not wish to continue at the new price.
Manual event entry, basic calendar viewing, and club management remain free forever. AI-powered features (Smart Add, Scan Letter, Gmail/Outlook auto-sync) require an active subscription after the free trial ends.
Payments are processed by Stripe. By subscribing, you also agree to Stripe's Terms of Service. We do not store your card details.
By adding a child's profile, you confirm that you are the parent or legal guardian of that child, or have appropriate authority to manage their information. You are responsible for the accuracy of information you enter about children. We handle children's information in accordance with our Privacy Policy and the ICO's Children's Code.
The "Search School" feature retrieves publicly available term date information from school websites. Term dates are provided for convenience only and may not be accurate or up to date. Always verify important dates directly with your school. SchoolSphere is not responsible for any consequences arising from reliance on term dates retrieved through this feature.
If you connect a Gmail or Outlook account or upload documents (letters, PDFs, images), you authorise us to process that content solely to extract event information for your calendar. We do not store the full text of your emails. Uploaded documents are permanently deleted immediately after AI processing. Pasted text is not stored beyond the extraction process. You can disconnect Gmail or Outlook at any time in Email Settings.
When you invite another person to your household, you are responsible for ensuring that person is who you intend to invite and that you are comfortable sharing your family's schedule with them. You can remove household members at any time in Settings. Removing a member immediately revokes their access to your calendar.
SchoolSphere uses artificial intelligence to extract event information from text, images, and documents. AI extraction is not perfect. You should always review extracted events before saving them and correct any errors. We are not responsible for inaccuracies in AI-extracted content, including incorrect dates, missing requirements, or misidentified events.

We reserve the right to suspend or terminate accounts that violate these Terms.
We aim to keep SchoolSphere available at all times but cannot guarantee uninterrupted access. We may update, modify, or discontinue features at any time. We will give you reasonable notice before discontinuing the service entirely, and will provide a means to export your data before closure.
SchoolSphere and its content (design, code, text, branding) are owned by us or our licensors. Content you create within the app (events, notes, children's profiles) remains yours. You grant us a limited licence to store and process that content solely to provide the service to you. We do not claim ownership of your data.
To the fullest extent permitted by law, we are not liable for any indirect, incidental, or consequential loss arising from your use of SchoolSphere, including missed events, incorrect term dates, or data loss. Our total liability to you in any 12-month period shall not exceed the greater of: (a) the total amount you have paid us in that period, or (b) £50.
Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law under the Consumer Rights Act 2015.
If you are a consumer using SchoolSphere for personal, non-business purposes, you have statutory rights under UK consumer protection law, including the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013. Nothing in these Terms affects those statutory rights.
You may delete your account at any time via Settings → Delete Account. Deletion permanently removes all your data. We may suspend or terminate your account if you breach these Terms. If we terminate your account without cause, we will refund any unused portion of a prepaid subscription.
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales. If you have a complaint, please contact us first at support@schoolsphere.app. We will try to resolve disputes informally within 30 days.
If we make material changes, we will notify you within the app and ask you to accept the updated Terms before continuing to use SchoolSphere.
